Summer registration period for new students approaching


Although school has only been out a month, parents of students who are new to Bartow County’s two school systems already need to be thinking about getting their kids registered for the upcoming year.

Bartow County School District officials are recommending the earlier, the better for registering new students as the district is expecting a large turnout during the 13-day summer registration period. 

“At the start of last school year, the Bartow County School System had approximately 2,100 students enroll through central registration,” registrar Jamie McClain said, noting the majority of new students come from other school districts within the state. “So far this year, we have had over 1,200 students complete early enrollment. So we are still estimating between 800 to 1,000 students to enroll during the summer enrollment period.” 

For students who are new to the district, parents have to complete a two-step process — registration and enrollment — to get them ready for the 2019-20 school year.

To register, parents/guardians and their students must visit the central registration office (STARS building) at 86 Registration Drive in Cartersville during the summer registration periods of July 16-18 from 8 a.m. to 2 p.m. and weekdays between July 22 and Aug. 2 from 8 a.m. to 2 p.m. For GPS purposes, use the old address 1653 Cassville Road in Cartersville.

McClain said there are “many factors that determine how long it takes to complete the process.” 

“Every family is different, and while one family may be finished in 15 minutes, another family may take longer,” she said. “Additionally, due to the high volume of traffic expected, wait times will most likely be extended. Our best advice is to arrive early in the morning because central registration gets busier approaching lunch and the afternoon.”   

There also may be at least a 48-hour enrollment processing time, and if students’ registration isn’t completed before Aug. 2, they may not be eligible to attend open house at their school on Aug. 5.

Parents should complete the registration packet, which is available on the district’s website, before their visit to speed up the process. 

To register, parents must have copies of the following required documents for their students: certified birth certificate or passport; a Social Security card or objection to use waiver; two printed proofs of residency (home ownership paperwork, current lease/rental agreement, any current utility bill or current income statement or pay stub); a certificate of immunization (Form 3231) or appointment card and a certificate of hearing, vision, dental and nutrition (Form 3300) or appointment card obtained from a family physician or the Bartow County Health Department at 100 Zena Drive in Cartersville; a parent or legal guardian driver’s license or other government-issued ID card and legal custody or guardianship paperwork, if applicable; a copy of previous school records (a withdrawal form and last report card for grades K-8 and an official school transcript and discipline report for high school); and a copy of special education records, if applicable.

For the enrollment step, parents/guardians and students need to visit their assigned school to enroll and to obtain class assignments, schedules and other information unique to the school. 

“Parents of pre-K students through ninth grade will be given information about open house when they complete the enrollment process,” McClain said. “Parents of returning ninth-graders and above will be given contact information for their school counselors to discuss student schedules when they complete the enrollment process. We encourage everyone that has completed enrollment to attend open house on Aug.5.”

Students and parents/legal guardians who are new to the Cartersville City School System must visit the appropriate school together during its office hours or call to schedule an appointment to register.

The high school summer office hours are Monday through Thursday from 8 a.m. to noon and 1 to 4 p.m.; the middle school is closed until July 18; the elementary school is closed until July 24; and the primary school is closed until July 22.

Parents/guardians must have proof of identification (photo ID from any source or other proof of identification) and copies of the following required documents: records from previous schools (withdrawal forms, including IEP, if applicable, discipline and attendance as well as the school’s address); birth certificate; Social Security card or signed waiver; a certificate of immunization (Form 3231) and a certificate of hearing, vision, dental and nutrition (Form 3300) obtained from a family physician or the Bartow County Health Department; proof of residency (current rent receipt, lease, deed or city utility bill with the parent/legal guardian's name and address; post office box numbers are not acceptable); and custody papers, if applicable.

Only students who legally live within the Cartersville city limits are eligible to attend the city schools. 

Out-of-district students may apply for enrollment but must meet the enrollment criteria, be accepted by the principal of the appropriate school and pay tuition — $300 per child — in full before enrolling.
